March 2026 Meeting Minutes

Minutes (Shannon) Sycamore Station HOA Board Meeting March 10, 2026 7:00 p.m.

II. Open Session

A. Financials:

● Period Operating Gain - $4,199

● YTD Operating Loss - $3,954

● Average fee collections were $458 greater than the budgeted fee collections

● Accounts Receivable in arrears is $677, or 0.47% of annual budgeted fees

● There are no amounts greater than 90 days old that need to be discussed

● Total Cash - $348,002

● Operating Cash - $46,590

● Reserve Cash - $301,412

● The following accounts have non-standard activity:

● 5030-Attorney Fees - HOA: $535.50 to Lueder, Larkin & Hunter for review of the Comcast easement agreement renewal

B. Ongoing Topics:

• Need more board members

• IN PROGRESS - Traffic calming efforts

● Possibility for additional speed bumps and signage

● Jeff will send an email blast out

• Comcast Agreement - signed and executed

● Waiting on check from Comcast

• Set up wifi in the clubhouse

● Need to setup an appointment to get it setup

C. New business:

• Retention pond follow up?

D. Committees:

1. Landscape/Groundskeeping

• 18 landscaping questions - update?

• ONGOING - The next two mailbox areas to be improved are to the left-hand side, mailboxes 46-50, of the middle cul-de-sac and to the right-hand side, mailboxes 25-30, in the last cul-de-sac. Christie Kuropatwa will work with the homeowners of units 26 and 27 to determine if additional shrubbery can be removed to improve the look of the area between these two units.

● 26-27 will move forward.

• Bush/tree between units 25 and 26 - cut down drastically or removed? (ongoing)

• Other landscaping projects?

2. Social/Welcome Committee - (Shannon and Ngozi) ONGOING -

● Welcome baskets will be provided to new neighbors.

● HOA documents, list of covenants, and information about how to request changes to their unit will be sent via email to new neighbors.

• First Fridays

● First one occurred on Friday, March 6th.

● Future dates: April 3, May 1, June 5, July 3, August 7, September 4, October 2, November 6, December 4

● Takes place in the cul-de-sac between units 30 and 31. When the pool is open, it will take place at the pool.

3. Pool (Baraka and Nicole)

• For next year: Additional signage or change in signage needed for 2026 Season?

4. Architectural [no one has signed up]
