Minutes Sycamore Station HOA Board Meeting April 14, 2026 7:00 p.m.
II. Open Session
A. Financials:
• Period Operating Loss: $174
• TYD Operating Loss: $4,128
• Accounts receivable in arrears less than 1% of fees
• Total cash: $353,000
• Operating cash: $47,542
• Reserve cash: $305,279
• Non-standard activity: Attorney fees for review of Comcast easement agreement renewal
B. Ongoing Topics:
• Need for more board members
• IN PROGRESS - Traffic calming efforts -
• Jeff to send out question to the community
• Comcast Agreement -
• Set up wifi in the clubhouse? (Christie will reach out to Ryan at Comcast to discuss options)
C. New business:
• Retention pond follow up (Jeff will do this)
• Jeff removed the Racoon from the retention pond (thanks, Jeff!!)
D. Committees:
1. Landscape/Groundskeeping
• 18 landscaping questions - update?
• ONGOING - The next two mailbox areas to be improved are to the left-hand side, mailboxes 46-50, of the middle cul-de-sac and to the right-hand side, mailboxes 25-30, in the last cul-de-sac. Christie Kuropatwa will work with the homeowners of units 26 and 27 to determine if additional shrubbery can be removed to improve the look of the area between these two units (ongoing)
• Terry’s question about the crepe myrtles. Answer: they weren’t trimmed this year. Will probably be trimmed next year.
• Other landscaping projects. Removal of 8 fence posts near Max Erskine’s units should be removed.
• Park behind church: the committee is looking for a used swing set. They are also looking for a (volunteer) gardener. (We already approved the appropriation of funds. We need a receipt.)
2. Social/Welcome Committee - (Shannon and Ngozi) ONGOING -
• The distribution of welcome baskets was approved by the board. Need committee to decide who and how. Baskets could include a thumb drive with HOA documents, list of covenants, and information about how to request changes to their unit
• Christie will send email to encourage residents to join the social/welcome committee
• First Fridays -
• started on March 6th
• will continue through summer and rest of the year
• Shannon will order popsicles the first Friday that the pool is open
3. Pool (Baraka and Nicole)
• For next year: Additional signage or change in signage needed for 2026 season?
• Pool should open in mid-May. Christie will coordinate.
4. Architectural [no one has signed up]
• Remodel kitchen? (ask residents at annual meeting)
